Data Retention Schedule
We only keep your information for as long as we genuinely need it. This page sets out how long we keep each type of information and why. It sits alongside our Privacy Notice.
| What we hold | How long we keep it | Why |
|---|---|---|
| Payment and order records (amount, date, service purchased, order reference) | 6 years from the end of the financial year the payment falls in | Company and tax record-keeping obligations |
| Completed work we produce for you (written support, evidence reviews, notes of calls) | 6 years from the date the work is completed | So we can evidence the advice given if a question or dispute arises later |
| Information you send with a purchase or booking, including SEND, disability and health details | 6 years from completion of the work it relates to | It forms part of the record of the support provided; shared only with your explicit consent |
| Ask Jess questions and follow-up messages | 12 months after the conversation is completed | To answer sensibly if you come back, and to check fair use of free questions |
| Contact form messages and data rights requests | 12 months from the last message in the exchange | To handle the query and evidence how we responded |
| Booking calendar entries and appointment history | 2 years from the appointment date | Scheduling, no-show and rescheduling history |
| Marketing consent records (where you have opted in) | Until you unsubscribe, plus 2 years | To evidence that consent was given, as required by PECR |
| Cookie and analytics consent records | 12 months, then we ask again | Consent must be refreshed rather than assumed indefinitely |
| Website and security logs | 12 months | Security monitoring, fraud prevention and fault diagnosis |
| Safeguarding records, where a concern has been recorded or shared | Kept separately for as long as necessary, and normally no less than 6 years | To evidence the action taken to protect a child or adult at risk |
What happens at the end of the period
When a retention period ends we delete the information, or anonymise it so it can no longer identify you or your child. Anonymised totals (for example, how many bookings were made in a month) may be kept indefinitely because they are no longer personal information.
Payment information
Card details are never held by us. Payments are processed by Stripe, which keeps its own records under its own retention rules to meet financial regulations.
Asking us to delete sooner
You can ask us to delete your information earlier using our data rights process. We will do so unless we are legally required to keep it — for example, payment records we must retain for tax purposes.
Review
These periods are set by Simplified Support Ltd and reviewed at least annually. If you think a period is longer than necessary, tell us at Jessica@SimplifiedSupport.co.uk and we will look at it again.
